Clients: cards, import, consents, no-shows and blocking

1. The client card

A card appears by itself — from the first online booking or manual entry. It holds: name, phone, email, notes and allergies (visible only to you), visit history, visitor counters, no-shows and consents.

The phone is the client's key: the same client is recognised by number both online and by phone, so the history is not duplicated.

From the card you can jump to a specific visit in the calendar, write the client a message (see "Messages and newsletters") and manage their data (see "Data and privacy").

2. Import from Excel or CSV

"Clients → Import": paste rows from Excel / Google Sheets or pick a CSV / TXT file (up to 1 MB). Columns: name, phone, email (optional), note (optional); the first row may be a header.

Before saving, a preview shows how many are new, how many already exist, how many have errors (unrecognised phone, missing name). For existing clients you can only fill empty fields — name and phone are never overwritten.

Imported clients have no marketing consent: they will receive visit emails, but not newsletters until they consent themselves via the booking form. Only the owner can import.

3. Duplicates

If the same client has two cards (a different number, an import mistake), choose "Merge duplicate into this card" on the card: visits, reviews and consents move into one, the second card stays in the history as merged.

4. Consents: client + salon + channel

Consent to receive newsletters lives in a pair with your salon — the client gives it in the booking form (a checkbox) and withdraws it any time via the link in the email footer. Opting out applies only to your salon, not the whole system.

Visit emails (confirmation, reminder, reschedule) need no consent — they are service, not marketing.

The card shows the consent history: when, via which channel, from where (form, opt-out link, import). This is your evidence should the client ask.

5. No-shows and blocking

When marked "no-show", the client receives a gentle email and the counter on their card increases. After two no-shows, new online bookings wait for your confirmation; after three, online booking is no longer possible (the client sees a suggestion to get in touch directly).

On the card you can also block manually (or unblock) — with a two-tap confirmation. The block applies only to online bookings; you can always book manually.

One phone number can have up to 2 upcoming online bookings and up to 3 new ones per 7 days. When expecting a group booking (a celebration), raise the limit under "Salon → Data" and restore it later.
