1. A personal message — service, not marketing
On the client card and the visit sheet there is "Write to the client": pick a template (a reschedule offer with the nearest free times, confirmation, cancellation reason, free text), adjust the text and send it by email. The client needs an email.
The client's reply arrives directly in the specialist's inbox — you continue the conversation in your own mail. When the message is tied to an upcoming visit, its management link can be added.
A personal message needs no marketing consent — it is communication about their visit. But it is not a channel for advertising: newsletters are for promotions.
2. Newsletters (campaigns)
"Newsletters" (visible to the owner): a name for yourself, the audience (all clients · visited in the last 3 or 12 months · clients of a specific service · not visited for a long time), subject and text. The preview shows the real email in your salon's look; "Send a test to myself" delivers it to you.
Only clients who have an email, are not blocked and have given consent (the checkbox in the booking form) receive it. Clients imported from Excel receive no newsletters until they consent themselves — the law requires it and the system does not allow bypassing it.
Before sending, spam warnings are shown (capital letters in the subject, too many links, exclamation marks) — they do not block, but help you stay out of spam. Sent campaign statistics: recipients, sent, failed, opted out after it.
"Send later" — choose a date and time in salon time (at least 10 min ahead, up to 90 days), and the newsletter goes out by itself. A scheduled newsletter occupies the weekly slot, so another cannot be sent at that time; until sending, the schedule can be cancelled ("Cancel schedule"), and the text edited only after cancelling. If the scheduled send cannot happen (e.g. the subscription is paused, no consenting clients remain), the newsletter returns to drafts with the reason and its author receives an email.
3. Weekly limit and opt-out
One newsletter per 7 days — the list shows when you can send the next one. This protects clients from a flood of emails and your salon from opt-outs and spam flags.
The footer of every newsletter automatically contains your salon name, address and an opt-out link. A client who opted out receives no further newsletters from you, but still receives visit emails. The opt-out applies only to your salon.
Consent is re-checked at the moment of sending — a client who opted out between the click and the send will not receive the email.
4. Daily quota
Emails from all salons go through a shared daily quota. It is always reserved for visit emails; if a large newsletter uses it up, the remaining emails go out the next day automatically — nothing needs to be resent.
