1. What the client receives
- Confirmation request — right after booking online (the link is valid for 15 min).
- Visit confirmed — with a management link (reschedule / cancel) and a calendar entry.
- Reminder — a day before the visit (if the booking was made more than a day ahead; with less than 2 h left the reminder is no longer sent).
- Rescheduled / cancelled — when the time is changed by the client or by you.
- Thank you — 2 hours after the visit, only when marked "arrived", with a one-time review link (valid 14 days).
- You did not show up — a gentle email when marked "no-show".
All emails carry your salon name and colours. A client without an email (a manual booking with a phone only) receives no emails — the system quietly skips them.
2. What the specialist receives
A new online booking, a client's cancellation or reschedule, a booking waiting for the salon's confirmation, a visit handed over from another specialist. A manual booking the specialist entered themselves triggers no email.
At night (22:00–08:00 salon time) the email about a new booking waits until morning — the phone does not ring at three in the morning. Client emails go out at night as usual.
3. Calendar entries: .ics and Google Calendar
The client's confirmation email has a calendar attachment (.ics) and an "Add to Google Calendar" link — the visit lands on their phone with one tap. After a reschedule, a new email brings the updated entry.
A specialist can subscribe to their visit calendar: "Account → Calendar subscription → Create link", then add the link on the phone (iPhone: Settings → Calendar → Accounts → Add Subscribed Calendar; Google Calendar: Other calendars → From URL). Visits update by themselves.
The subscription link is as secret as a password — whoever has it sees the visits. Creating a new one stops the old one working.
4. Why an email did not arrive
On the client card, under "Emails to the client", you see the status of every email sent to them: "Sent" (handed to the mail server), "Delivered" (the server confirmed receipt), "Bounced" (the address does not exist) or "Failed" with the reason. Opening a visit in the calendar you see whether the reminder has gone out and when it will.
The most common cause is a typo in the client's email. Check it on the card and correct it; the next email will go to the right address.
If the address does not exist or the client marked our email as spam, we no longer send to that address (protecting sender reputation for all salons). This is shown on the card next to the email as a red warning — correct the address or arrange things with the client by phone.
Automatic visit emails are sent from an edapi address that cannot be replied to — a client's reply will not reach you. To correspond, send a personal message from the client card: their reply arrives directly in the specialist's inbox.
Every email is sent once — reloading the page or double-tapping never produces duplicates.
