Bookings: from the client's click to the visit

Updated 2026-09-16

1. Two doors: via the specialist or via the service

On the public page a client can start from the specialist ("I want Rasa") or from the service ("I want a manicure") — either way they reach the same free times, just in a different order. In a single-specialist salon there is one door.

Free times are calculated from the schedule, existing bookings, the service duration with buffer and the day rules — the client sees only times that really fit.

2. Confirmation within 15 minutes

After filling in the form (name, phone, email) the client receives an email with a confirmation link. The time is held for them for 15 minutes: once confirmed — the booking is final; if not — the time is released and disappears from the calendar.

Once confirmed, the client receives a second email with a management link (reschedule / cancel) and a calendar entry; the specialist gets an email about the new booking. At night (22:00–08:00 salon time) the specialist's email waits until morning; the client's emails go out immediately.

For a service with a deposit, payment replaces the email confirmation: the time is held for 30 minutes and once paid the booking is confirmed immediately.

For a client who has already failed to show up twice, the booking waits for your decision after confirmation — it is marked "Confirm" in the calendar. Their reminder is sent only after you confirm.

3. Manual entry from the calendar

The calendar "+" creates a booking for a client who called or walked in: you choose the specialist, the service (and option), a time from the free ones, a client from the list or a new one. No email confirmation needed — the booking is final right away.

Phone limits and minimum notice do not apply to manual bookings — you decide. A client with an email receives the same confirmation email with a management link as one who booked online.

4. Rescheduling and cancellation

Via the management link in the email a client can cancel the visit before it starts or move it to another free time with the same specialist (up to 3 reschedules per booking). In both cases both sides receive emails.

You cancel or reschedule from the calendar: the client receives an email with the new time or a cancellation notice. A specialist always manages their own bookings; others' — if the owner granted the "cancel others' bookings" permission.

A booking cannot be deleted — only cancelled. The cancellation stays in the history with its reason and is visible in the log.

5. Multi-service visits and series

A client (or you manually) can combine up to 3 services into one visit with the same specialist: one time, one email, one calendar entry and — if there is a deposit — one payment session.

For a regular client the calendar "+" offers "Repeat regularly": every 1–12 weeks, 2–24 visits in total. The system shows in advance which dates conflict (taken, closed) and saves only the free ones — nothing is silently skipped.

6. Arrived or no-show

After the visit starts, mark "arrived" or "no-show" in the calendar. This determines the thank-you email with a review link (only for those who arrived, 2 hours after the visit) and the no-show counter on the client card.

A mistaken mark can be changed. Who marked what and when is visible in the log.
